Easier Contactless Pickups for Everyone

Contactless/curbside holds pickup started out as a method for safely delivering holds to patrons during the COVID-19 pandemic and will probably be here to stay… for good. And that’s a great thing! According to a recent Forbes article, curbside pickup is not going anywhere, even post-pandemic, because customers simply love it.

Importantly, curbside/contactless holds pickup is not just convenient and safe for patrons… it also helps staff by ensuring they don’t get overwhelmed in any one channel. By offering multiple methods for pick up (curbside/contactless, circulation desk, self-checkout kiosks, etc), it allows you to service several patrons at the same time.

What’s more, if you have a mobile platform to facilitate scheduling and SMS communication – you’ll see higher adoption and usage.

Pickup Manager: Scheduling & Communicating Holds Pickups

Last November, Springshare released Pickup Manager – our robust and feature-rich contactless holds pickup tool that includes scheduling and mobile chat/SMS communication.

Patrons can:

  • Schedule their holds pickup once they’re ready
  • Communicate with the library via mobile-optimized chat or SMS/texting when they’ve arrived
  • Provide their feedback by filling out a follow-up survey
  • Receive reminders when they haven’t picked up their items

Pickup Manager has ILS Integration!

Pickup Manager integrates with a variety of ILS Tools and we even have a generic SIP2 integration… so if none of the below match your ILS, we can integrate via SIP2 if that’s an available option!

  • Scheduling a Pickup Time slot: When patrons go to schedule their pickup time slot, they’ll be prompted to enter in their library barcode/pin. Pickup Manager authenticates to see if they have holds available that are eligible for pickup.
  • Checking Out Holds During Two-Way Communication: When the patron arrives to pickup their items and initiates a mobile chat or SMS/text, during the chat exchange you can check-out items to the patron directly from the Pickup Manager dashboard. This removes an entire step – checking out the items via the ILS – from the process!

A lot of our academic libraries don’t have curbside pickup because they’re usually walking distance from the dorms and don’t have nearby parking lots. But, that doesn’t mean Pickup Manager isn’t right for you! 4. How They Did It: Reopening at the University of Hull Library

As libraries were starting to reopen their doors over the summer, we checked in with The University of Hull Brynmor Jones Library – one of our first customers to go live with LibCal Seats – to share their reopening process. They provided a ton of helpful information about planning their library’s layout, figuring out booking and cleaning times, and enforcing social distancing!

Last summer we wanted to make an improvement in an area that would empower Springshare users to collaborate, discuss, and help each other online. One of Springshare’s greatest strengths has always been our community, and we wanted to make an online space that reflects how innovative all of you are. So, without further ado, we introduced the revamped, and extra Springy, Springshare Lounge!

8. Supporting Staff & Students 24/7 with Local & Academic Chat Co-Ops

Virginia’s Community Colleges (VCCS) and California Community College Library Chat (CCCLC) group both frequently assist students who work and have other responsibilities during “regular business hours” – perhaps even more so during the pandemic. The individual colleges and libraries range in size and available staff, but together the two groups serve over 900,000 students.

In November, they shared how the Springshare 24/7 Global Chat Cooperative and the LibAnswers platform has helped them support their staff and students, especially during last year’s distance learning!

9. You’ve Switched to Remote Services… And the Numbers Show It

About a month after the sudden shift to remote learning and library services, we shared some really interesting early LibAnswers and LibGuides stats that illustrated the size of the enormous change, along with information about what we were doing on our end to support you.

10. Our First Springshare Learning Lab!

December 1, 2020

In response to customer requests to integrate client use cases and how-tos, we launched a brand new training session series: The Springshare Learning Lab!

Ken Winter from VDOT Research Library kicked things off with a thoughtful discussion of his longtime remote working experience and how Springshare tools have helped his team support their patrons during the pandemic.

We’re excited to continue the series in 2021! Next week Gwen Jones at the University of Liverpool is going to share their experience contributing to the 24/7 Global Chat Cooperative (Register now for the last few spots!). And you can watch all Learning Lab recordings on our Buzz site.

Pickup Manager & LibCal Releases are On Their Way to You!

This release is on its way to you this week, and will be live in all regions by the end of the day on Friday, November 13.

Pickup Manager Release

This release brings key features needed for Pickup Manager, and we’re thrilled to announce that Pickup Manager is now available! Pickup Manager streamlines the holds pickup process while adhering to your COVID-19 safety guidelines. Patrons can easily request their holds via their ILS, schedule a pickup, and enjoy 2-way SMS/text and chat communication once they’ve arrived. Staff will love the easy 2-way communication with patrons via SMS and Chat in Pickup Manager’s live-updating “Today’s Pickups” dashboard. Pickup Manager has so many features to not only make your current day-to-day easier but when COVID-19 is a thing of the past, you’ll wonder how you ever did holds pickup ‘the old way’.

LibCal Release

LibAuth Authentication Required to Access Seat/Space Reservation Page & Booking Grid

We’ve added a new option when set that will require your patrons/students to authenticate via LibAuth BEFORE accessing the new reservation page and seat/space availability. Head to Admin > Spaces & Equipment > LibAuth to check out this new feature!

Power Filter/Indication for Seat/Spaces

You can now flag a Seat or Space to indicate that there is a power source available. When creating or editing a Seat or Space record, there is now a new flag named ‘Powered’ that can be set. The ability to filter booking searches by this new flag has been added to the new reservation page. Also, any Seat or Space that is flagged as having a power source available will display on the availability grid next to the Seat or Space name.

Other Changes

  • By popular request we have added a new setting to free up the remaining time of a booking if a patron/student checks out early. Head to Admin > Spaces > Edit Location and set the “Early Check-Out Booking End Time Update” to make use of this new feature.
  • The ability to create recurring Seat bookings on the booking grid view is now available!
  • We have added API support for creating Seat bookings to the /space/reserve endpoint as well as returning location, category, seat, space and item names in all Spaces & Equipment booking endpoints.
  • A new “Preferences” tab has been added for admin side users to set a default location and tab when clicking on the Spaces or Equipment options from the main menu. Head to Admin > Accounts > Edit Account > Preferences or click on your email on the top right of the main menu and head to the “Preferences” tab to set your defaults!

2020 has been a difficult year. COVID-19 has not only impacted health, but also family life, and work life. Here at Springshare, when the pandemic hit, we quickly pivoted all our development plans to release training, products, and features that you needed right now. First, we rolled out our tips for a remote first world followed shortly after with tips for staying motivated, transitioning to online teaching, and using LibCal to increase online engagement. On the product development side, we released functionality and tools designed to help you better service your users in this ‘new normal’. We released online appointments and events in LibCal with Zoom and MS Teams integration and launched the LibCal Seats module helping building managers reopen their building safely. But we’re not done yet!

How does Pickup Manager work?

  • Patron requests a hold in your ILS. When items are ready, your ILS sends an email with the link to our pickup scheduler.
  • Patron receives email from ILS system with LibCal booking link, they “log in” with their ILS barcode/pin to verify they are who they say they are and then book a spot.
    • Don’t want to integrate your ILS? No worries, we’ll have this covered in a future release.
  • Patron reserves their preferred time & location using LibCal’s easy-to-use booking interface.
    • Don’t want to allow patrons to reserve a spot? No worries, the scheduling component is optional.
  • ‘Today’s Scheduled Pickups’ on the Dashboard helps you prepare today’s items. 
  • When the patron arrives, they mobile chat or SMS/text you with a customized keyword. The Pickup Manager recognizes the patron and alerts you of their hold details so you can easily grab and deliver their items. 
  • If needed, you can communicate back-and-forth with the patron about their pickup via chat or SMS/text – all from the Pickup Manager dashboard.
  • When the items are picked up, the Pickup Manager marks them as received by the patron in their ILS record, too.
  • Send automated reminder and follow-up satisfaction survey emails.
