Keep Track of Costs for Your Library's Events

There's a lot that goes into making your library events a success – and LibCal is your all-in-one tool for this behind-the-scenes coordination! Today, let's take a look at a brand-new feature designed to shine a light on exactly how much goes into your event planning: Event Production Cost.

Using the new Event Production Cost field is as simple as can be. When creating or modifying an event in LibCal, you'll see a new field available for Event Production Cost. Here, you'll enter the total cost to run the event or series, as defined by your team.

What Kinds of Costs Might You Tally?

• Speaker and presenter performance fees

• Supplies and materials

• Catering

• Interpretation

• Security fees

• Staffing

• Setup/cleanup costs

Of course, no field would be complete without a corresponding report! We've also added a report for Event Production Cost Overview, so you can see the total cost of putting together events based on the search and filter options you choose. This new report also shows you the total anticipated ticket sales from events that require registration with an attendance payment from the patron. Compare the production cost and projected revenue of your event or series to see at a glance whether your registration sales are covering your costs.
